Delivery Policy

1. Overview

Novalyra LLC, doing business as Novalyra Group ("Novalyra," "we," "us," or "our"), provides entirely digital services. There are no physical goods shipped or delivered. All deliverables - including strategy documents, content assets, campaign files, reports, and creative materials - are delivered electronically through the methods described in this policy.

Delivery timelines are estimates based on typical project complexity and mutual cooperation. Actual delivery may vary depending on scope, client feedback turnaround, and other factors noted in this policy. All delivery timelines are subject to the terms of the applicable Statement of Work (SOW).

2. Service Delivery Timelines

The following timelines apply to our standard service offerings. Custom or complex engagements may have different timelines as defined in the SOW.

Brand Strategy

  • Initial brand strategy document: 2 to 4 weeks from project kickoff, following completion of the discovery and research phase.
  • Brand identity assets (logo concepts, color palette, typography): delivered alongside or within 1 week following the strategy document, depending on scope.
  • Ongoing brand refinement and brand guideline updates: as scheduled in the retainer SOW.

Social Media Management

  • Initial content calendar: delivered within 5 business days of onboarding completion.
  • Ongoing monthly content calendars: delivered at least 1 week (7 calendar days) before the first scheduled post of the month for client review and approval.
  • Daily post management and community engagement: performed on business days per the approved schedule.
  • Monthly performance reports: delivered by the 5th business day of the following month.

Content Marketing

  • Blog posts and long-form articles: 5 to 7 business days per piece from brief approval.
  • Email campaign copy and sequences: 3 to 5 business days per campaign from brief approval.
  • Landing page copy: 3 to 5 business days from brief approval.
  • Rush delivery (within 48 hours): available at an additional fee, subject to team availability.

Search Engine Optimization (SEO)

  • Initial technical SEO audit: 1 to 2 weeks from account access being granted.
  • Keyword research and content gap analysis: delivered as part of or within 1 week of the initial audit.
  • On-page optimization recommendations: provided within the first month of engagement.
  • Monthly SEO performance reports: delivered by the 5th of each calendar month for the prior month.

Paid Advertising

  • Initial campaign setup (Google Ads, Meta Ads, or LinkedIn): 3 to 5 business days from receipt of all required assets, copy approvals, and account access.
  • Campaign go-live: after client approval of all ad creatives and targeting parameters.
  • Ongoing campaign optimization: performed on a continuous basis throughout the month.
  • Weekly performance summaries: delivered each Monday for the prior week.
  • Monthly detailed campaign reports: delivered by the 5th business day of the following month.

Analytics and Reporting

  • Monthly analytics reports: delivered by the 10th of each calendar month for the prior month.
  • Custom analytics dashboards: 1 to 2 weeks to build and configure from account access.
  • Custom or ad hoc reports: 3 to 5 business days from request confirmation.

3. Project Milestones

For project-based engagements, work is typically structured around five milestones. Each milestone must be client-approved before the next commences:

  • Milestone 1 - Discovery: Kickoff call, brand and business intake, competitive landscape review, and audience research. Deliverable: Discovery Summary Document.
  • Milestone 2 - Strategy: Marketing strategy development, positioning recommendations, channel prioritization, and messaging framework. Deliverable: Strategy Deck and Roadmap.
  • Milestone 3 - Creation: Production of all agreed-upon assets including copy, creative briefs, campaign materials, and content. Deliverable: All creative and content assets.
  • Milestone 4 - Launch: Campaign setup, platform configuration, and go-live execution. Deliverable: Live campaigns and confirmation reports.
  • Milestone 5 - Optimization: Initial performance review, data-driven adjustments, and recommendations for ongoing improvement. Deliverable: Optimization Report and Recommendations.

The timeline for each milestone is specified in the SOW. Client approval delays of more than 5 business days per milestone may extend overall project timelines proportionally.

4. Communication and Updates

We believe in proactive, transparent communication throughout every engagement. Our standard communication cadence includes:

  • Weekly Status Updates: A brief written status email every week covering work completed, work in progress, pending client actions, and any blockers.
  • Monthly Strategy Calls: A scheduled video or phone call to review performance data, discuss results, and align on priorities for the upcoming month.
  • Dedicated Account Manager: Each client is assigned a dedicated account manager as their primary point of contact for all questions, requests, and escalations.
  • Response Times: We aim to respond to all client communications within 1 business day. Urgent requests flagged as such will receive a response within 4 business hours during standard business hours (Monday through Friday, 9:00 AM to 5:00 PM Mountain Time).

5. Delivery Methods

All deliverables are provided digitally through one or more of the following methods, as agreed with the client at the start of the engagement:

  • Email: Reports, strategy documents, and approval requests are typically delivered via email to the designated client contact.
  • Shared Cloud Storage: Large files, asset libraries, and creative files are shared via Google Drive, Dropbox, or similar platforms agreed upon at project kickoff.
  • Project Management Tools: Task assignments, deliverable reviews, and milestone tracking may be coordinated through tools such as Asana, ClickUp, Notion, or similar platforms.
  • Client Portal or Dashboard: Where applicable, performance data and reports may be accessible through a shared analytics dashboard or reporting portal.
  • Direct Platform Access: Certain deliverables (e.g., published SEO content, live ad campaigns) are delivered directly within your advertising or web platforms.

6. Revision Policy

We include a standard number of revision rounds with each deliverable to ensure the final output meets your expectations.

  • Included Revisions: Two (2) rounds of revisions are included per deliverable unless otherwise specified in the SOW. A revision round consists of one consolidated set of feedback submitted within the 14-day satisfaction window following delivery.
  • Revision Feedback: To be eligible for included revisions, feedback must be specific, consolidated (submitted as a single document or message rather than in separate installments), and submitted within the 14-day window following delivery of the relevant milestone.
  • Additional Revisions: Revision requests beyond the two included rounds, or feedback submitted after the 14-day window, will be billed at our then-current hourly rate. We will provide an estimate before proceeding.
  • Scope of Revisions: Revisions are limited to refinements of the original agreed-upon scope. Requests that fundamentally change the direction or scope of a deliverable constitute new work and are subject to additional fees.

7. Delays and Extensions

We are committed to meeting agreed-upon timelines. However, some circumstances may require timeline adjustments:

  • Client-Caused Delays: If delayed feedback, missing assets, or delayed approvals from the client's side push work beyond the agreed timeline, Novalyra is not in breach. The project timeline will be extended by a period equal to the client delay.
  • Novalyra-Caused Delays: If Novalyra anticipates a delay due to internal capacity or unforeseen circumstances, we will notify you in writing as soon as possible and propose a revised timeline.
  • Mutual Agreement: Either party may request a timeline extension. Extensions must be agreed upon in writing and are effective when both parties confirm acceptance.
  • Force Majeure: Delays caused by circumstances beyond either party's reasonable control (see Force Majeure in our Terms of Service) do not constitute a breach and will be handled through mutual communication.

8. Post-Delivery Support

Following the completion of a project-based engagement, Novalyra provides a 30-day post-delivery support window. During this period, we will:

  • Answer questions related to the delivered work
  • Provide minor clarifications or adjustments to delivered materials at no additional charge (subject to the revision policy above)
  • Assist with technical questions about implementing recommendations

Post-delivery support does not include new work, major scope changes, or ongoing management. Requests of that nature will be addressed under a new retainer or project SOW.

9. Quality Assurance

Before any deliverable is submitted to a client, it passes through Novalyra's internal quality assurance process, which includes:

  • Review against the agreed-upon SOW specifications and client brief
  • Proofreading and accuracy checks for all written content
  • Brand guideline compliance review (colors, tone, messaging, visual standards)
  • Functional testing for any campaign setups or tracking configurations
  • Senior review sign-off before delivery on all major project milestones

Our goal is to deliver work that requires minimal revisions by getting things right before it reaches you.
